How to Plan a Baby Shower with Others.

You are lucky if you have a group of people assisting you with the baby shower planning. You can use the guideline below if you have someone else handling the catering, decorating, and photography!

One month before expectant mother leaves for work/due date:

  1. Decide on a date that is at least one month prior to the expectant mother’s last day at work or due date
  2. Be sure to schedule around major company events
  3. If this is not a surprise Baby Shower, be sure to confer make arrangements with the expecting mother.
  4. Decide on the room/location you will use for the Shower and began the reservation process
  5. Decide on a theme for your Baby Shower
  6. Pick your three helpers
  7. Send out all invitations
  8. Give the expectant mother the questionnaire – this will enable you to answer any questions you, your helpers, or the guest may have.
  9. Determine how much you will need to finance the Shower
  10. Advise those helping you fund the shower how much you will be needing from each of them and when this money is due

Three weeks prior to the Shower:

  1. Collect all money due
  2. Print and handout the Role sheets
  3. Send invitations to those persons outside the company the expectant mother would like to invite if this is a Workplace Baby Shower
  4. Order any items that need to delivered via the mail

One week prior to the Shower:

  1. Send out invitations, (within organization), again
  2. Check on the status of your helpers
  3. See if they need assistance in purchasing items or assembling any gift baskets and/or diaper cakes.
  4. If you will be buying a gift for the expecting mother that will be from a group of people, this would be a good time
  5. Purchase Party Favors

Day before Shower:

  1. For Workplace Baby Showers, send out invitations with any special notes
  2. For instance, where to drop off gifts in the morning
  3. Whether they are allowed to stay for the entire time allotted
  4. Any room change
  5. Pack all decorations/party items you have at home that need to go to the Baby Shower
  6. Make for sure all clearances are made for the special guests to attend the Shower

Day of the Shower:

  1. Ensure that someone is designated to receive the call from Security that your special guests have arrived if this is a Workplace Baby Shower
  2. Fix the expectant mother’s plate at the Shower
  3. Introduce the special guests
  4. Assist helpers as needed
  • Decorate room
  • Pick up ice, cake
  • Make punch
  • Arrange and/or set up gift, food table
  • Arrange chairs and/or tables as needed, (keep in mind the games)
  • Print off any games
  • Print itinerary
  • Record all gifts
  • Help expectant mothers take gifts to the car
  • Help with clean-up
